Starting June 1, 2024, Facility Operations will provide faculty, staff, and students of IU Southeast with essential keys for their positions while maintaining the security standards of the university.
General Access Information
Upon authorization from their department/unit head, faculty and staff shall be issued keys that provide for the following.
- Access to their building of employment (if card access is not available)
- Access to their personal office
- Access to other offices and laboratories necessary for their duties
An alternative to having many keys would be for a department or unit to have a central set of keys that is approved, authorized, and administered by the department/unit head.
Facility Operations is responsible for granting final authorization to possess a key by determining whether the requester has a sufficient justification for the request.
Key Issuance
Persons requesting keys are required to obtain approval from the heads of their departments/units. A standard key request form or Intellikey request form must be completed by the recipient or the department's division office. The key shall be in the employee's name. Facility Operations will not accept random handwritten forms or emails. Once the key request form is completed and signed by the head of the department/unit, Facility Operations will process the request. Allow five days for the request to be filled. You will be notified by email when the key(s) is ready for pick up at the Service Building. Please make an appointment to pick up your key(s). A signature will be required at the time of pick up. A key will not be issued to a surrogate or representative of the requester.
The requester should be able to verify their identity by producing the following.
- For university faculty, staff and students - University ID card, a valid Indiana state driver's license, or state ID card
- For all others - a valid Indiana state driver's license or state ID card
By accepting the key, the requester becomes the Key Holder and accepts full responsibility for controlling the use of the key.
- Do not lend key to any other person.
- If lost, notify your supervisor and Facility Operations immediately.
- Do not attempt to have a duplicate key made.
- At time of separation from the University, keys must be returned to Human Resources.
- If changing offices, moving to another department, etc., please return existing key(s) directly to Facility Operations and submit a new key request form for the new space.
- Requester is responsible for paying the lost key fee of $10.00 (minimum) for each lost key.
Card Access
When an employee is hired, their University ID card will be activated with card access to their building (if available) and any other card access needed that is approved by the head of the department/unit and Facility Operations.
Key Return/Key Change
At time of separation from the university, key(s) must be returned to Human Resources during the exit interview process.
If changing offices, moving to another department, etc., please return existing key(s) directly to Facility Operations and submit a new key request form for the new space.
Combination Locks
In some circumstances, access to rooms such as computer labs or other areas that are used by many people is best served by installing a combination type lock. In all cases, the combination lock will be the IU Southeast standard with Master Key override. Requests for these locks must approved by Facility Operations. Facility Operations will provide a price quote to the requesting department which will fund the hardware. The department will be billed internally for the cost of the lock. Facility Operations will install the lock and change the code at the beginning of each fall semester and on an as needed basis.
Lock Changes
Departments/divisions may request lock changes in their respective areas for the purpose of maintaining security. Facility Operations Management uses discretion on requests of this type.
